Position Summary The Entry-level Bookkeeper will support the Accounting Specialist and finance team with processing account receivables and payables and other day-to-day financial transactions and activities, allowing Convo Australia to scale up our operations. This position reports to the Account Specialist for Convo Australia, and will provide support with developing and implementing systems for collecting, analysing, verifying, and reporting information to meet financial accounting objectives of the company. Where required, the Entry-level Bookkeeper will assist with providing information, primarily financial in nature, about all company activities with revenue and expenditure variance analysis that will support financial statements, working closely with the finance team. The successful applicant will also work closely with the Customer Service team to assist with customer enquiries especially related to their invoices and payment of services. This collaboration will include assisting with debt management, payment remittance confirmation, and updating customer details where required. The role will be based anywhere in Australia, working from your own home which requires reliable internet connectivity. This role is a fixed-term position, working 3 days per week for a 12 month term, and may lead to further career progression opportunities in the Finance team. Key Responsibilities
- Handles the activities of accounts receivable and payments management including billings, ageing reports, receipt of cash applications, payments of invoices and disbursements.
- Assists the Accounting Specialist with their responsibilities, including but not limited to:
- Updating the general ledger entries in the company’s accounting system (NetSuite).
- Reconciling bank account transactions, and assisting with internal and external audits.
- Creating service bookings and processing claims through the NDIS portal.
- Managing customer records in our CRM (HubSpot).
- Work with the staff to track payment and reimbursements.
- Register with vendors/ suppliers registry on company’s behalf.
- Manage and respond to enquiries from our customers about the status of their invoices and payments.
- Prepare, monitor and report monthly, quarterly and annual financial activities.
- Manage and respond to external stakeholders inquiries and/or information.
- Communicate with co-workers, management, clients/customers and others in a courteous and professional manner.
- Help develop, conform with and abide by all regulations, policies, work procedures and instructions.
- Respond to the CEO and the finance team, and undertake tasks as directed to facilitate financial operations for Convo Australia.
- Other tasks as required/agreed.
Essential Skills And Knowledge
- Certificate IV in Bookkeeping or similar.
- Ability to work independently with advanced computer skills on Google Workspace/Microsoft Office, accounting software (eg. NetSuite), CRM/databases (eg. HubSpot) and HR systems (eg. Employment Hero).
- Time management and ability to meet deliverables.
- Ability to manipulate large amounts of data in Microsoft Excel or Google Sheets.
- Understanding and knowledge of bookkeeping and accounting principles, practices, and standards.
- Collaboration and problem-solving in a remote team environment, and use of internal communication tools such as Slack and Google Meet to solve this.
- High attention to detail and accuracy.
- Maintaining confidentiality and integrity while managing sensitive financial and personal information.
Advantageous Additional Skills And Knowledge
- Proven working experience as an Entry-level Bookkeeper for at least 1 year.
- Fluency in Auslan.
- Strong communication skills with particular focus on debt management.
- Experience with NDIS and/or EAF invoicing and payment processes.
- Experience with supporting NDIS Agency managed customer accounts.
- Diploma in Accounting or Finance
