About The Role We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced, growth-oriented environment. This fully remote position requires a minimum of three years of experience supporting senior executives, with a strong emphasis on accuracy, attention to detail, and problem-solving skills. The Executive Assistant will manage the CEO's calendar, handle correspondence, coordinate meetings, and oversee various administrative functions to ensure smooth daily operations. The role demands flexibility, as the candidate may need to work after hours and meet critical deadlines on short notice. The ideal candidate will be a self-starter capable of working independently, managing multiple priorities, and maintaining confidentiality at all times. Qualifications

  • Minimum of 3 years of experience supporting executives in a similar role
  • Over 10 years of administrative experience
  • Associate’s degree from an accredited university (Bachelor’s degree preferred)
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Ability to develop professional presentations and supporting materials
  • Exceptional organizational and time-management skills
  • Ability to work independently with minimal supervision
  • High level of discretion and confidentiality
  • Availability to work after hours when necessary

Responsibilities

  • Manage and prioritize the CEO's calendar and schedule, ensuring optimal time management
  • Screen, manage, and respond to emails and incoming communications promptly and efficiently
  • Provide comprehensive administrative support for projects, including analysis and preparation of documentation
  • Coordinate adherence to deadlines and assist in completing special projects, reports, and correspondence
  • Develop, refine, and prepare presentations for executive meetings
  • Plan, organize, and facilitate meetings, including preparing agendas and recording minutes
  • Attend meetings to report back on discussions and communicate CEO priorities effectively
  • Negotiate vendor contracts and key resource acquisitions, ensuring favorable pricing and terms
  • Assist in preparing reports, schedules, and other documentation under the guidance of executives
  • Compose, edit, and proofread correspondence, contracts, and reports to maintain professional standards
  • Maintain and update task management software with key action items and deadlines
  • Provide communication support across departments and practice areas
  • Read and analyze incoming memos, reports, and submissions to determine their significance and distribution
  • Prepare responses to routine inquiries and correspondence
  • Maintain strict confidentiality of all company and executive information
  • Conduct candidate interviews as needed and perform various administrative functions upon request
