2. About the Opportunity:

The Project Administrator role provides essential administrative and operational support to project managers and teams. This position ensures project efficiency by managing documentation, coordinating reporting, supporting financial processes, and acting as a key contact for project systems and compliance. The role contributes to maintaining accurate records, supporting audits, and preparing project deliverables that impact the success of multiple projects.

3. Responsibilities:

• Manage customer and company paperwork to ensure accuracy and currency

• Maintain and distribute training documentation to the team

• Serve as the primary contact for timesheet submission and maintenance

• Act as the main user for project-related systems

• Track and report labor hours for projects

• Support audits through accurate record-keeping and documentation

• Prepare monthly reports for accounting and PMO functions

• Create and track purchase orders for project expenses

• Process invoicing and follow up on outstanding client payments

• Assist with client and internal project quoting processes

• Prepare quarterly PowerPoint presentations for leadership and stakeholders

• Coordinate with team members to meet project deliverable deadlines

• Maintain project trackers and dashboards to provide current status reports

• Manage client satisfaction follow-up

• Maintain project-related systems and ensure data integrity

• Assist users with system-related questions

4. Requirements:

• Bachelor’s degree in Business Administration, Project Management, or a related field preferred

• Minimum of 2 years of experience in project administration, operations, or related support role

• Strong organizational, communication, and time-management skills

• Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)

• Experience with ERP systems (e.g., Navision / Dynamics NAV) and project tracking tools is a plus

• Ability to manage multiple priorities in a fast-paced environment

• Attention to detail and accuracy in reporting and documentation

• Ability to coordinate with multiple teams and stakeholders

• Strong problem-solving skills in operational and administrative contexts

• Understanding of governance, compliance, and audit processes

• U.S. citizenship required due to project specifications

5. Pay Range and Compensation Package:

• The pay range and compensation package for this role will be determined based on the candidate’s experience, skills, and other relevant factors.
