We’re looking for a detail-oriented and tech-savvy Operations Assistant to join our team. This is a critical support role within the Operations Department, ensuring our systems, projects, and day-to-day functions run smoothly across multiple areas of the business.

About the Role

The Operations Assistant will support the Operations Manager across a range of operational, technical, and cross-functional tasks. You’ll help maintain the systems that power our business, assist with special projects, and collaborate with teams like marketing and customer experience when operational support is needed.

This role is ideal for someone who thrives on creating structure, enjoys learning new systems, and likes working behind the scenes to keep everything running smoothly.

Key ResponsibilitiesOperations & Project Support

  • Assist in tracking and managing tasks and projects using platforms like Asana and Slack.
  • Maintain and organize documentation, SOPs, and operational resources.
  • Follow up on open action items, recurring tasks, and deadlines.
  • Conduct research and provide summaries or recommendations to support internal projects.

Technology & Systems Assistance

  • Support the setup and maintenance of automations in ZapierMake.com, or similar platforms.
  • Help manage data and workflows across systems such as ShopifyPractice BetterYotpo, and Ontraport.
  • Troubleshoot or escalate issues related to system performance or integration.
  • Assist in improving documentation and streamlining recurring processes.

Marketing & Affiliate Support (Operational Focus)

  • Work closely with the Marketing Manager to assist with platform setup and testing for affiliate tools, automations, and email flows.
  • Review and test marketing sequences to ensure smooth execution from a technical standpoint.
  • Help coordinate between operations and marketing to ensure campaign and system alignment.

Inventory Coordination (Operational Support)

  • Assist with monitoring inventory levels and helping track product availability across fulfillment partners.
  • Help maintain internal inventory tracking tools or spreadsheets to support accurate projections.

Administrative Support

  • Help with scheduling meetings, coordinating workflows, and maintaining digital organization.
  • Assist with documentation, file management, and internal communications.
  • Provide general admin support to help ensure the operations team runs efficiently.

Skills & Qualifications

  • 2–4 years of experience in operations, project support, or similar role.
  • Strong organisational skills with excellent attention to detail and follow-through.
  • Comfortable using tech platforms — especially Zapier, Shopify, Google Workspace, and project tools like Asana and Slack.
  • Strong written communication and documentation skills.
  • Proactive, self-directed, and flexible — able to manage shifting priorities and stay focused.
  • Experience working remotely and independently in a digital environment.
  • Bonus: Experience in wellness, e-commerce, or health-related businesses is a plus.

Success in This Role

  • Internal operations are running more smoothly, with fewer bottlenecks and better documentation.
  • Inventory, vendor updates, and marketing tech processes are well-organized and consistently supported.
  • Projects and automations are tracked, maintained, and improved upon over time.
  • The Operations Manager and team are better supported, more efficient, and focused on strategic growth.
