Position Responsibilities:
Supporting others is your thing. Satisfaction for you means taking care of the little (and big) things that help leaders lead more effectively.
This position’s primary focus is to partner with the Chief Executive Officer to ensure her schedule, projects, and commitments, events and travel are executed flawlessly. You’ll be responsible for making sure Team Burnout to All Out and outside personnel have a high-touch, intimate, and professional experience with her.
Her success is your success, and vice versa.
Our ideal candidate knows how to communicate with warmth and grace. Attention to detail and interpersonal skills that ensure discretion and confidentiality are essential. And managing and leading the occasional Burnout to All Out live Event, where you get to travel in to meet clients and team in person get you fired up!
This role includes:
- Calendar Management: Schedule appointments and meetings for the CEO
- Ensure her full scope of projects are accounted for, anticipate needs, and make recommendations in order to accommodate and align to priorities
- Execute calendar adjustments in a timely manner and with attention to detail to ensure all links are working and pertinent details are included Meeting / Travel Planning: Collaborate with other team members to schedule meetings and create agendas
- Ensure that all meeting preparation has been completed prior to the meeting, and that adequate time is scheduled to prepare for meetings. This could include research, briefings, or other preparation activities.
- Book travel arrangements, including flights, hotels and transportation
- Email Management: Manage CEOs inbox and provide a high-level of responsiveness and problem-solving skills. As a part of putting our best foot forward, no one should go without a response for longer than 24 hours, which will require critical thinking, alignment to priorities, and the ability to make recommendations on responses, while following through to ensure we respond in a timely manner consistently
- Meeting Notes and Action Items: Take clear, concise, and actionable notes during meetings. Clearly define action items, along with responsible parties and due dates, distributing to the proper team members.
- Finance: Occasional finance support with custom carts/billing for clients where needed
- Personal Assistance: Complete a variety of personal tasks for the CEO as needed, including, but not limited to, conducting research, personal or medical appointments, coordinating reservations, scheduling educational meetings and school events as needed
- Coordination and leadership management of Live Events: Taking lead as point of contact with BOTAO for planning and execution of live events on behalf of the company
- Project & Task Management: Coordinate and execute project management for the CEO to ensure that deliverables and goals are achieved
- Monitor the progress of goals and special projects. Complete special projects, as assigned. This could also include Canva deck edits for presentations made by the CEO
Qualifications:
- 3 years experience assisting an executive or high level director
- A strong ability to manage multiple responsibilities daily
- Excellent written and verbal communication skills — you have a knack for
putting ideas into words and ensuring everyone is on the same page.
- History of learning and managing live events
- A high level of professionalism and emotional maturity
- Incredibly technically competent and current. You must understand how to
manage the following systems:
- Working knowledge of Google Calendar + Google Workspace
- Working knowledge of Zoom meetings and Canva
- Working knowledge of Apple Mac products
- Working knowledge of project management software (Asana is a plus)
Location: Remote
Job Type: Full-time
Hours: Typically 8 a.m. to 5 p.m.
Salary: starting at $80,000
