Job Description:
On behalf of our client, we are seeking a dedicated and enthusiastic Project Coordinator to provide essential administrative and logistical support on a high-profile project involving system implementation and stakeholder coordination. If you thrive on scheduling meetings, taking detailed notes, following up on action items, and ensuring clear communication across teams, this could be the perfect fit. This is a remote contract opportunity, one year to start, plus extensions.
Responsibilities:
• Coordinate and schedule project meetings, including preparing agendas, booking virtual/in-person sessions, and managing participant availability across time zones.
• Take accurate, detailed meeting minutes and distribute them promptly to all stakeholders.
• Track and follow up on action items, decisions, and deliverables to ensure timely completion.
• Maintain organized project documentation, files, and trackers (e.g., using tools like Microsoft Office, SharePoint, or similar).
• Serve as a central point of contact for routine project communications and status updates.
• Assist with resource coordination, such as arranging logistics for meetings or events.
• Monitor project timelines and flag any potential delays or issues to the Project Manager early.
• Support general administrative tasks to keep the project flowing efficiently.
Required Qualifications & Skills
• Proven experience in a Project Coordinator, Administrative Coordinator, or similar support role 5+ years.
• Strong organizational skills with exceptional attention to detail and the ability to multitask in a fast-paced environment.
• Previous experience supporting IT projects.
• Excellent written and verbal communication skills (clear, professional, and concise).
• Proficiency with Microsoft Office suite (especially Outlook, Word, Excel, and Teams/Zoom for virtual collaboration).
• Comfortable working independently while staying aligned with project goals and the Project Manager.
• Reliable, proactive, and enthusiastic about coordination work — we want someone who loves this type of role and sees it as a career strength, not a stepping stone.
• Familiarity with project tracking tools (e.g., Smartsheet, Asana, or similar) is helpful but not mandatory.
