About the Role
Operational leadership role combining Technical Operations Management with Executive assistant responsibilities to the CEO. This role exists to ensure execution excellence, operational scalability, and disciplined prioritization in a fast-growing technology company.
ResponsibilitiesStrategic Scheduling & Client Coordination
- Act as the single point of contact for scheduling all CEO meetings with enterprise prospects and clients.
- Manage complex calendars, invitations, cancellations, rescheduling, and follow-ups across US and European time zones.
- Qualify warm inbound and outbound leads and schedule revenue-critical meetings.
- Actively defend the CEO’s calendar by prioritizing high-impact, revenue-generating activities.
RFP & Project Management
- Own the full RFP lifecycle from intake to final submission.
- Track all deadlines and ensure zero missed or late submissions.
- Assemble proposals by extracting and tailoring technical and commercial content.
- Coordinate inputs from technical, commercial, and leadership stakeholders.
- Ensure proposal quality, structure, formatting, and compliance.
Global Team Hiring & Management
- Design and write job descriptions for offshore roles.
- Hire and onboard cold callers, proposal writers, and support staff.
- Define KPIs, monitor daily activity, and manage performance.
- Coach team members to ensure consistent quality and output.
- Own hiring budgets and staffing decisions for this function.
Marketing Automation & AI Enablement
- Own and manage CRM and marketing automation systems using GoHighLevel.
- Build and maintain workflows, pipelines, tagging systems, and funnels.
- Independently troubleshoot automation and integration issues.
- Leverage AI tools to improve operational speed, quality, and scalability.
Qualifications
- 3–5+ years of experience in operations, project management, or senior executive support within a tech or SaaS environment.
- Native-level English (C1/C2) with confidence communicating with US-based C-level executives.
- Hands-on experience with GoHighLevel or comparable CRM and automation platforms.
- Proven experience hiring and managing offshore or remote teams.
- Exceptional attention to detail, prioritization skills, and execution discipline.
