Overview
As an Account Coordinator at COACT, you will play a critical role in supporting the day-to-day coordination of multiple complex, high-volume, service-integrated accounts. You’ll work closely with Account Directors, Account/Project Managers, and cross-functional teams to ensure timelines stay on track, communication remains clear, and deliverables meet client expectations.
This role requires a strong ability to adapt quickly, absorb and understand information, and maintain organization across multiple workstreams. You will help bridge communication between internal teams, ensuring alignment, organization, and support in fast-paced, detail-driven environments.
This is a full-time position.Key Responsibilities
- Support account leads in managing timelines, deliverables, and day-to-day project execution and organization.
- Maintain detailed project trackers and ensure all workstreams are progressing according to scope and schedule (utilizing Smartsheet as a project management tool)
- Coordinate across internal teams (strategy, creative, operations) to ensure alignment and timely delivery.
- Facilitate clear, proactive communication between internal teams and client stakeholders.
- Quickly learn and apply technical product or service knowledge to support accurate communication and execution.
- Assist in preparing client-facing materials, including presentations, status updates, and documentation.
- Track feedback, revisions, and approvals across multiple stakeholders and ensure nothing falls through the cracks.
- Identify risks, bottlenecks, or gaps in process and escalate or address them proactively.
- Support documentation of processes, workflows, and best practices to improve efficiency over time.
- Help ensure consistency, accuracy, and quality across all deliverables.
Qualifications
- 1–3 years of experience in account management, project coordination, or a similar role within an agency environment.
- Proven ability to manage multiple projects and priorities simultaneously in a fast-paced setting.
- Strong organizational skills and attention to detail, with a proactive, solutions-oriented mindset.
- Excellent written and verbal communication skills, with the ability to translate complex or technical information clearly.
- Comfortable working with highly technical subject matter and learning new systems, tools, or industries quickly.
- Ability to collaborate effectively across cross-functional teams and navigate multiple stakeholder perspectives.
- Experience using project management and collaboration tools (e.g., Smartsheet, Asana, Monday.com, Microsoft Suite, Slack).
- Ability to stay calm under pressure and maintain momentum across high-volume, detail-heavy workstreams.
- Strong problem-solving skills and ability to anticipate needs before they arise.
Preferred
- Experience supporting large enterprise or highly regulated clients.
- Exposure to technical, industrial, sustainability, or product-driven industries.
- Experience working on complex, multi-stakeholder accounts with layered approval processes.
